How do I add, copy, edit or delete an email template?

Administrators of Work Group or higher editions can edit notifications (email templates) and/or create additional notifications related to course projects.

To add a new template or copy an existing:

  1. From the Application menu select Organization.
  2. Select Email Templates.
  3. Locate the current email template you want to edit. You will notice that system notifications cannot be edited or deleted. If you want to change a system email, you must create a copy and apply your changes to the copy.
  4. Select a Template and then click Copy from the Actions.
  5. Give your template a new Name and Description
  6. If the new template is only intended to be sent out regarding courses belonging to a specific Project, select that project from the dropdown list.
  7. Apply your changes to the email Subject and Body
  8. Click Save.
  9. Note that new email templates are Enabled by default. If you do not wish to have the new template sent out to users at this time, deselect the Enabled checkbox from the Properties section of the Template form.

To edit an email template:

  1. From the Application menu select Organization.
  2. Select Email Templates.
  3. Locate the current email template you want to edit. 
  4. Select a Template and then click Edit from the Actions. You will notice that system notifications cannot be edited, deleted or turned off. If you want to change a system email, you must create a copy and apply your changes to the copy. 
  5. Apply your changes.
  6. Click Save.

To delete an email template:

  1. From the Application menu select Organization.
  2. Select Email Templates.
  3. Locate the current email template you want to edit. 
  4. Select a Template and then click Delete from the Actions.
    Note: You will notice that system notifications cannot be edited, deleted or turned off. If you want to change a system email, you must create a copy and apply your changes to the copy. If you need to delete or turn off a system template, contact support.

To turn Off / On an email template:

  1. From the Application menu select Organization.
  2. Select Email Templates.
  3. Locate the current email template you want to edit. 
  4. Select a Template and then click Turn Off (for enabled templates) or Turn On (for disabled templates) from the Actions button. You will see the template status change according to your selection.
    Note: You will notice that system notifications cannot be edited, deleted or turned off. If you want to change a system email, you must create a copy and apply your changes to the copy. If you need to delete or turn off a system template, contact support.
